Users and locations — overview
For audits and tasks to reach the right people, jeCheck needs to know your company structure: which locations you have, who works there and who is responsible for what. All of this is set up by an administrator, or by employees the administrator has given the right permissions, in the Staff and Management menu groups.
What the company structure is made of
- Location — what you audit: a restaurant, store, club or warehouse. In older versions of jeCheck, locations were called divisions or departments — it's the same thing. Audits, analytics and tasks are tied to locations.
- User — an employee with an account. The login is an email address; the invitation with the password is sent there.
- Company administrator — a mark for an employee who can do everything. What other employees see and do is defined by their roles and permissions.
- Position (role) — for example “Chef”, “Barista”, “Manager”. An employee has one position, shared across all locations.
- Location team — employees linked to a location. You can mark one or more of them as managers.
- Roles and permissions — sets of permissions given to employees: which sections they can open, what they can do and at which locations. See Roles and permissions.
- Web dashboard access — whether the employee can sign in to the website. Without access they work only in the mobile app.
The administrator mark and web dashboard access are set in the employee card on the Access tab or in Management → Roles and permissions, in the Sign-in and administration block.
Where to set things up
| What | Where in the menu |
|---|---|
| Employees: creation, position, password | Staff → Employees, Employees tab |
| List of positions | Staff → Employees, Positions tab |
| Locations, team members, managers, regions | Management → Locations and regions |
| Roles and permissions, administrator, web dashboard access | Management → Roles and permissions or the Access tab in the employee card |
| Your own details, photo, password | Profile (the menu under your name at the bottom) |
These sections are open to the administrator and to employees with the matching permissions — for example, “Employee list”, “Locations and regions”, “Assigning roles and permissions to employees”. More in Roles and permissions.
Why link all of this
- Analytics. A user who isn't an administrator sees in analytics, by default, only their own locations — where they work or manage.
- Violation tasks. An automation scenario looks for an employee with the required position at the audited location. If there isn't one, the task goes to the location manager, and if there's no manager either — to administrators.
- Tests and instructions are assigned by position and location.

Frequently asked questions
Is there a limit on the number of users?
No. You can add as many users as you like on any plan. The plan depends on the number of locations — see Plans and billing.
Can one employee work at several locations?
Yes. Add them to each location's team. Their position stays the same at all locations.
