Requests and approvals in the app
Process requests, approvals and the department queue work in the app the same way as in the web dashboard: they are the same tasks, with the same route and history. Processes are set up by an administrator on the website — see Processes — requests with approval.
Sections of the Tasks tab
At the top of the Tasks tab there is a section switcher. Sections that aren't available to you are hidden:
- Tasks — your tasks, as before;
- Requests — My requests by process, the Open and All filters and a New request button;
- Approvals — requests waiting for your decision, acceptance or rework; the section shows a counter;
- Department — Department queue: tasks of your departments that nobody has taken yet.
How to submit a process request
- Open the "+" menu. On the Tasks tab, tap + and choose Process request (or tap New request in the Requests section). The item is in the menu only if processes are available to you.
- Choose a process. Processes are grouped, and there is a search. If there is only one process, its form opens right away. The process card shows its description and Route — the steps the request will go through.
- Fill in the form. The title (or it is Generated automatically from the answers), Location, Due date, Priority, Description and the process fields. Fields with a condition appear only when the condition is met. Add files and photos with Camera, Gallery or File.
- Tap "Submit request". Required fields are checked before sending — empty ones are highlighted. The request gets a number and goes straight to the first step.
Approvals: how to make a decision
In the Approvals section, each request shows what is expected from you: Approve, Accept work or Rework (the request was returned to you), and overdue ones are marked. Open the request — at the top of the card there is the route block with the steps, form answers and buttons:
- Approve (at the acceptance step — Accept) — the request moves on;
- Return — the request goes back to the author;
- Reject — the request is closed with the "Rejected" status;
- Delegate — the decision passes to another employee, if the step allows it.
If the step requires a comment for returning or rejecting, the button won't work without it. If the step is set to "Everyone must approve", the request waits for a decision from every approver.
Execution, rework and withdrawal
- The assignee of a step taps Step done. If the step requires a photo of the result, attach it first with Photo.
- The author whose request was returned sees "The request was returned for rework": tap Edit and resubmit, correct the answers and tap Resubmit — the request goes back to the same step.
- The author can Withdraw request if the process allows it. An employee with the intervention permission sees Cancel request instead.
While the request is at an approval step, the task status is Awaiting approval.
Request by QR code
A request QR code may hang at the location or on equipment — for example, on a coffee machine or a treadmill. If you are signed in to the app, the request is sent on your behalf: you become the task author, see it among your tasks and get notifications about its progress.
- Scan the code in the app. On the Tasks tab, tap + → Request by QR code. If you scan such a code in the clock-in section of the Schedule tab, the app opens the request form too.
- Describe the problem. The form shows what place this is and which department the request goes to. Write what happened, mark it as urgent if needed, leave a phone number and attach up to 3 photos.
- Tap "Submit request". You'll see "Request accepted" with its number, and then the created task opens.
If the app says "Code not found", the code is inactive or belongs to another company — you can Open in browser. "Requests are not accepted right now" means no department is set up for this code or the company's plan doesn't include QR requests.
Department queue
If you are a member of a department, the department's tasks without an assignee go to Department → Department queue. The card of such a task is marked "In department queue" and has buttons:
- Take it — you become the assignee;
- Assign — only for the department head: choose an employee. The list shows how many open tasks each person has and who is on shift, at another location or absent.
Priority, location and task labels
When creating a regular task (+ → Task), you can choose the Priority — Urgent, High, Medium (default) or Low — and the Location. In lists and cards, tasks are labeled with their priority (urgent and high) and source: Audit, HACCP, Request, HR or the process number.
Frequently asked questions
Why don't I have the Requests, Approvals or Department sections?
They appear only if they are available to you: the company has published processes you can submit, requests come to you for a decision, or you are a member of a department.
What does the "+" button offer?
The + button on the Tasks tab always opens a menu: Task, Process request (only if processes are available to you) and Request by QR code. You can also scan a request QR code with your phone's regular camera — then the form opens in the browser, without signing in.
Is a decision made in the app visible in the web dashboard?
Yes. Decisions, comments and step history are stored in the same request and are visible both on the website and in the app.
