Mistakes at night cost more than in the morning: a cash shortage, a pallet left on the loading dock, a fridge switched off by accident or someone locked in the back room are only discovered the next day. A closing checklist turns "I think everyone's gone" into a verified routine owned by a specific person.

First close the sales floor and make sure no customers are left, then handle the cash — counting happens behind a locked door and on camera. Stockroom, cleaning and switching off equipment can be split among staff, but the final walkthrough of all areas and arming the alarm are done by whoever signs the checklist.

Sales floor

  1. 1
The front door is locked and no customers remain on the floor, in fitting rooms or in the restroom Lock the door after the last customer; walk every area a customer can reach, including fitting rooms and the restroom.
    ☐ Yes☐ No
  2. 2
Merchandise left behind by customers is returned to its place No items left at registers, in baskets, on the wrong shelves or in fitting rooms.
    ☐ Yes☐ No
  3. 3
Chilled and frozen products abandoned outside refrigeration are pulled from sale For grocery formats: check the checkout area and dry shelves; such product doesn't go back on the shelf but is handled under the chain's temperature-abuse procedure. Critical
    ☐ Yes☐ No
  4. 4
Open refrigerated cases are closed with night blinds or lids Where the equipment allows, night blinds are pulled down along the full length and chest freezer lids are closed.
    ☐ Yes☐ No
  5. 5
Refrigerated case temperatures at closing, °C For grocery formats: record the reference thermometer reading for each case; chilled products are typically 0…+5 °C (some regulations allow up to +6 °C), frozen −18 °C or below. Photo Record a value
  6. 6
Bread, bakery and deli items near expiry are handled per chain rules Items on their last day are marked down at the set time or pulled and written off; skip this item for non-food stores.
    ☐ Yes☐ No

Registers and cash

  1. 7
Register shifts are closed on all registers and end-of-day reports are printed Each register has an end-of-shift report with cash and card totals. Photo
    ☐ Yes☐ No
  2. 8
Cash in each register is counted and matches the report Count behind a locked door, on camera, with the cashier present; the amount minus the float equals cash sales on the report. Critical
    ☐ Yes☐ No
  3. 9
Register variance (over or short), amount Record the amount and the register; zero if there's no variance. Any variance means a written explanation from the cashier the same evening. Record a value
  4. 10
Card terminal settlement is completed Terminal totals match card sales on the register report; the settlement slip is attached to the day's paperwork.
    ☐ Yes☐ No
  5. 11
Cash is bagged for pickup or locked in the safe, and the safe is closed The bag is sealed and the amount on the deposit slip matches the count; only an authorized employee has the safe key or code. Critical

Common violations

  • Cash is counted with the door open or out of camera view: if there's a shortage, there's no way to prove when and where the money went missing.
  • The breaker that powers the fridges is switched off along with the floor lights — in the morning all perishables are written off.
  • A chilled item a customer abandoned at the register is put back in the fridge in the morning: it sat warm for hours but looks no different.
  • The last person out doesn't check the stockroom and back rooms: an employee gets locked in, or a motion sensor trips the alarm and the store pays for the security callout.
  • Goods from the evening delivery are left on the dock overnight — they get stolen, rained on or warm up.

Frequently asked questions

Yes, each register separately and with the cashier present. That's the only way to tie a variance to a specific day and person rather than finding it at the monthly inventory count.

It means a zone is open or a sensor detects motion. Ask the monitoring center for the zone number, close the door or window and try again. Don't leave until security confirms the store is armed.

Cash records are kept as long as required by your country's laws and the chain's accounting policy. It makes sense to keep completed closing checklists at least as long as CCTV footage so they can be compared when investigating a shortage.
