Hotel Room Maintenance Inspection Checklist

Maintenance engineer or technician
When
Scheduled: every room once a quarter per the PM calendar; unscheduled after a guest complaint or when a room has been out of use for a long time
Time
~35 min · 35 items
Run it in jeCheck

Room attendants and supervisors see the room through the guest's eyes, but they do not remove the A/C grille or check whether the door closer latches. A preventive maintenance walkthrough finds faults before the guest does: a running toilet that wastes cubic meters of water in a month, a cracked outlet, a broken window restrictor on a high floor.

During the inspection the room is blocked in the PMS as "out of order". The engineer works through the systems: door and security first, then electrical, HVAC, plumbing, windows, furniture and equipment. Anything fixed on the spot is marked "yes" with a note; anything needing parts or a contractor becomes a work order with a photo and a deadline. Critical faults (safety, electrical, leaks) mean the room is not sold until they are fixed.

Entry door and security

  1. 1
The electronic lock opens with the guest card and master card; battery indicator OK Test both cards; on low battery, replace per schedule rather than waiting for failure. Critical
    ☐ Yes☐ No
  2. 2
The door closer shuts the door until it latches, without slamming Open the door fully and let go: it closes on its own, the lock engages, no bang.
    ☐ Yes☐ No
  3. 3
The inside chain or deadbolt and the peephole work The deadbolt slides easily; the corridor is clearly visible through the peephole.
    ☐ Yes☐ No
  4. 4
The evacuation plan on the door is in place, legible and marked "You are here" The plan matches the floor and the room's location. Photo
    ☐ Yes☐ No
  5. 5
The in-room smoke detector is in place, intact and uncovered Housing undamaged, not taped over or painted; indicator works where fitted. Functional testing follows the fire alarm system maintenance schedule. Critical Photo
    ☐ Yes☐ No
  6. 6
Sprinkler heads are not painted over or obstructed If there are no sprinklers, mark "yes". No paint on the head and nothing hung from it. Critical
    ☐ Yes☐ No

Electrical and lighting

  1. 7
All outlets and switches are secure, with no cracks or scorch marks Wiggle each cover plate; darkening around the contacts takes the room out of service for repair. Critical Photo
    ☐ Yes☐ No
  2. 8
Outlets by the bed and desk are live and USB ports charge Test with a tester or a phone charger.
    ☐ Yes☐ No
  3. 9
The key card energy saver switch turns power on and off Insert the card and the lights come on; remove it and power cuts after the set delay.
    ☐ Yes☐ No
  4. 10
All lamps work and color temperature is consistent throughout the room Turn on all lights. No flicker, all bulbs the same shade.
    ☐ Yes☐ No
  5. 11
Cords on lamps, hair dryer and kettle have no damaged insulation or kinks Inspect along the full length, especially at the plug and where the cord enters the housing. Critical
    ☐ Yes☐ No

HVAC and ventilation

  1. 12
The A/C or fan coil unit cools and heats to the set temperature Set the panel below and above the current temperature; within 5–10 minutes the airflow noticeably changes.
    ☐ Yes☐ No
  2. 13
The A/C filter is clean or replaced per schedule Remove the grille and inspect the filter; the last cleaning date is in the maintenance log. Photo
    ☐ Yes☐ No
  3. 14
The A/C runs without unusual noise, vibration or dripping Listen at maximum fan speed; no water marks under the unit.
    ☐ Yes☐ No
  4. 15
The bathroom exhaust fan draws air Hold a tissue to the grille: it is pulled in.
    ☐ Yes☐ No

Plumbing

  1. 16
Hot water temperature at the faucet, °C Run the water for 1 minute and measure with a thermometer in the stream. Legionella prevention benchmark: at least 50 °C after one minute of running (UK guidance); lower and upper limits (scald protection) per your local regulations. Record a value
  2. 17
Hot water arrives without a long wait and pressure is adequate Hot water arrives within the hotel's set time (usually under a minute); shower pressure is steady without surges.
    ☐ Yes☐ No
  3. 18
If the room has been unused for a week or more, faucets and shower are flushed before check-in Run hot and cold water through every faucet and the shower, with the shower head held low by the drain to avoid aerosol; logged. Stagnant water is a Legionella growth risk.
    ☐ Yes☐ No

The toilet cistern does not run after flushing After the flush and refill: no trickling sound and no stream down the bowl.
    ☐ Yes☐ No

    ☐ Yes☐ No
  6. 21
Sink, shower and tub drains empty quickly with no odor Fill and drain: water goes down without delay, no sewer smell.
    ☐ Yes☐ No
  7. 22
Silicone seals are intact; no leaks under the sink or at the toilet base Use a flashlight under the sink and around the floor; blackened or peeling silicone gets replaced. Photo
    ☐ Yes☐ No
  8. 23
Grab bars and holders in the bathroom are firmly fixed Pull firmly on the tub grab bar, towel bars and toilet roll holder: no wobble.
    ☐ Yes☐ No
  9. 24
No signs of leaks or mold on bathroom walls and ceiling Check the ceiling above the shower and the corners: stains or bubbling paint get a work order with a photo. Photo
    ☐ Yes☐ No

Windows, balcony and curtains

  1. 25
Window opening restrictors are fitted and working The window opens only to a safe gap per hotel standard (often no more than 100 mm / 4 in); the restrictor cannot be removed without a key or special tool. Critical
    ☐ Yes☐ No

Common violations

  • Locks are not checked until a guest is stuck at the door at 2 a.m. Scheduled lock battery replacement costs far less than a night call-out and a complaint.
  • A running toilet is treated as minor. It wastes cubic meters of water a month, and it only shows up on the water bill.
  • A smoke detector stays covered with a bag or film after renovation. In a fire, the room has no alarm.
  • A window restrictor is removed at a guest's request "for ventilation" and never refitted. On a high floor that is a direct fall risk, especially for children.
  • Faults are reported verbally with no work order. A month later nobody remembers what was broken, and the room keeps being sold.

Frequently asked questions

Common practice is every room once a quarter, with the schedule spread evenly across the months. Also after every maintenance-related guest complaint and before a room goes back on sale after renovation.

The housekeeping supervisor checks cleanliness and amenities; the engineer checks how the systems work: lock, electrical, HVAC, plumbing, windows, fixings. Many maintenance items need tools and panel removal, so they are not part of daily cleaning.

With a minor cosmetic one, yes. With a safety fault (lock, outlet, window restrictor, balcony railing, smoke detector) or a leak, no: the room stays blocked in the PMS until it is fixed.
