# How to assign a test to employees and set deadlines

> Assign a published test to the whole company, positions, locations or people; set a due date, reminders, auto-adding new hires and recertification.

An assignment says who has to take a test and by when. Every employee in the assignment gets a notification and a personal link to the test. You can assign only a published test.

## Step by step

1. **Open the assignment window.** In **Work → Testing**, click **Assign** in the page header or next to the test. In the builder of a published test, use the **Assign** button.
2. **Select the test** if you opened the window from the header: the list shows only published tests.
3. **Choose who.** **Whole company** or **Select**: **Positions**, **Locations** and/or specific **Employees**. You can combine options — the bottom of the window shows how many people are selected.

4. **Set the dates.** **Due date** — the date and time by which the test must be taken (leave empty for no deadline). **Opens on** — when the test becomes available (leave empty for right away).
5. **Add context.** An **Assignment name** (for example, “Cooks certification, October”) and a **Message to employees** — it's shown on the test screen before the start.
6. **Set up automation.** **Recertification**, **Close the test after the deadline**, **Add new employees automatically**, **Remind about the deadline** — see below.
7. **Click “Assign”.** Employees get a “New test” notification with their personal link.

> [!NOTE]
> If the test has an **Opens on** date, the notification is sent when the test opens, not right away. Until then, the employee sees when the test will open.

## Deadline reminders

With **Remind about the deadline** turned on, jeCheck sends a push reminder one day before the due date and another one after it — to those who haven't passed yet and can still start an attempt.

> [!WARNING]
> Automatic reminders work only when a **Due date** is set. Without a due date there are no reminders — remind people manually with the **Remind** button on the test results page.

By default, the deadline is soft: once it passes, the employee can still take the test, but they're counted as overdue in the assignment list.

If you need a hard deadline, turn on **Close the test after the deadline** when assigning (the checkbox appears once a **Due date** is set). After the deadline, new attempts can't be started — the employee sees that the test is closed and that their manager can extend the deadline. An attempt started before the deadline can be finished. To reopen the test, click **Change due date** on the results page (for everyone or for one employee) or **Give a new attempt** — in the latter case, if the deadline has passed, it's extended by the number of days allowed for a retake (14 by default).

To stop accepting attempts from everyone at once, click **Close the assignment**.

## New employees

The **Add new employees automatically** checkbox adds people who later join the selected positions and locations (or the company, with the **Whole company** option) to the assignment. They get the test and a notification automatically. Rules:

- auto-adding works while the assignment is active and **has no due date, or the due date hasn't arrived yet**;
- a new hire gets **the same due date** as the whole assignment — there's no separate “N days from being added” deadline.

> [!TIP]
> For ongoing onboarding, create a separate assignment with no due date for the relevant positions. If an assignment's due date has already passed, you can add new employees manually: on the results page, **Assignments** tab, click the sync icon with the tooltip **Add new employees by position and location**.

## Recertification

Turn on **Recertification** and set how many **days** **after** passing the test is assigned to the employee again, and how many days they get for the retake (14 by default). When the result expires, the test is reassigned with that deadline and a new notification. Past attempts stay in the history, and the attempt limit starts over.

If the test settings include a certificate with **Limited validity**:

- with **Recertification** turned on, the assignment takes priority — the result and certificate are valid for the number of days set in the assignment. The assignment window warns you if the periods differ;
- without **Recertification**, the certificate validity from the test settings applies — when it expires, the test is reassigned too.

On the results page, each assignment shows after how many days the retake happens and how many days are given to complete it.

## Managing an assignment

On the test results page (**Results → Assignments**), each assignment has:

- **Remind** — a notification to everyone who hasn't passed yet;
- **Due date** — a new due date for everyone who hasn't passed yet;
- the sync icon (tooltip **Add new employees by position and location**) — pull new people into the assignment;
- the lock icon — **Close the assignment** / **Reopen**;
- **Delete** — employees no longer see the test; results of completed attempts are kept.

For an individual employee: **Remind**, **Change due date**, **Give a new attempt**, **Copy personal link**, **Remove from assignment**.

## Frequently asked questions

### Can I assign a test to just one person?

Yes: **To → Select → Employees** and choose the person.

### An employee is in the assignment twice — will they take the test twice?

No. Within one assignment, each employee counts once, even if they match both by position and by location.

### Why can't I select a test in the assignment window?

The list shows only published tests. Open the test in the builder and click **Publish**.
