The timesheet fills itself in from the published schedule and the clock-ins and clock-outs. Open **Staff → Timesheet** and choose a month and a location (or all locations). You can also set a custom period of up to 62 days.

## Timesheet codes

The timesheet uses the codes of the T-13 form (in Russian letters):

| Code | Meaning |
|---|---|
| Я | present |
| Н | night work — more than half of the day's payable time falls at night |
| РВ | work on a public holiday |
| В | day off; also a day off on request |
| ОТ | vacation |
| Б | sick leave |
| К | business trip |
| У | training |
| ДО | unpaid leave |
| Р | maternity leave |
| ПР | unexcused absence |
| НН | no-show: the schedule had a shift on a past day but there is no clock-in; also an absence of the "Other" type |

Days where the shift isn't closed yet are marked separately — the employee hasn't clocked out yet. Click a cell to go to the clock-ins.

## How payable hours are calculated

Payable hours are calculated for each closed clock-in by the rule in the settings:

- **by clock-ins** — the actual worked time;
- **by schedule, if the employee came** — the scheduled shift time, if the employee clocked in;
- **by clock-ins, but no more than scheduled** (default) — the actual time, but no more than the scheduled shift: arriving early and staying late aren't paid.

Worked time is the time from clock-in to clock-out minus the break. If a manager approved a clock-in with specific hours, those hours are payable. Clock-ins without a shift are paid as worked.

## Night and holiday hours

- **Night** — minutes of payable time that fall into the night window from the rules (22:00–06:00 by default).
- **Holiday** — minutes worked on days marked as holidays in the company calendar.

## Overtime

The counting mode is set in the rules:

| Mode | Overtime is |
|---|---|
| don't count | no overtime |
| per day | payable hours above the daily threshold (8 h by default) |
| per week | hours above the weekly limit from the rules (40 h by default) |
| per period (summarised) | hours above the monthly norm by the company's working calendar |

## Employee totals

At the end of the row: days with worked time, scheduled and payable hours, night, holiday and overtime hours, number of late arrivals and minutes, no-shows and absences by code.

## Printing and Excel

- **Print (T-13)** — a timesheet similar to the unified T-13 form: codes and hours by day of the month, totals for the first and second half of the month, signatures of the responsible persons.
- **Excel** — the timesheet with codes and totals for accounting.

> [!NOTE]
> When the month's payroll is approved, the timesheet shows "Month closed" and the month's clock-ins can't be changed. To correct data, cancel the approval in **Payroll**.

## Frequently asked questions

### Why does an employee have "НН" although they worked?

They had a shift that day but no clock-in. Add a clock-in manually in **Clock-ins** — the timesheet recalculates.

### Do unpublished shifts get into the timesheet?

No. The plan in the timesheet is only published shifts, and the actual time is clock-ins.

### Can I keep a timesheet for several locations at once?

Yes, choose **All locations** — the timesheet will include all locations you manage. Work at any of them goes into one employee row.
