Schedule settings are in **Staff → Shift schedule → Settings**. Company rules and holidays are changed by an administrator or a schedule manager of all locations; locations, location templates and staffing needs can also be changed by the manager of that location.

## Company rules

Rules apply to all locations. For a new company, the time zone and currency are filled in from the company's country.

| Group | What you set | Default |
|---|---|---|
| General | time zone, first day of the week, currency | by company country, Monday |
| Schedule checks | rest between shifts, maximum shift length, weekly hour limit | 12 h, 12 h, 40 h |
| Norm | hours in a working day (for the monthly norm and paid absences) | 8 h |
| Night and holiday | night time and pay multipliers | 22:00–06:00, ×1.5; holidays ×2 |
| Overtime | counting mode, daily threshold, multiplier | not counted, 8 h, ×1.5 |
| Payable hours | by clock-ins, by schedule, or by clock-ins but no more than scheduled | no more than scheduled |
| Clock-ins | rounding, late grace period, how early before a shift one can clock in, auto-closing forgotten clock-ins | no rounding, 5 min, 60 min, after 4 h |
| Geolocation and photo | require geolocation, radius, block outside the geofence, require photo, clock-in without a shift, clock-in from the website | yes, 200 m, no, no, yes, no |
| Notifications | shift reminder, "hasn't clocked in" to the manager | 60 min before, after 15 min |
| For employees | show pay, show colleagues on shift | no, yes |
| Requests | shift swaps and picking up open shifts need manager approval | yes, yes |
| KPI | bonus threshold and metric achievement cap | 80 %, 120 % |
| Deductions | up to 10 percentage deductions from accrued pay (name and percent) | none |

How the rules affect the timesheet and payroll is described in [Timesheet](/docs/schedule/timesheet) and [Payroll](/docs/schedule/payroll).

## Locations: geofence, time zone and budget

For each location you manage you can set:

- **coordinates and radius** — for clocking in from the app and website with geolocation. The radius is 20 to 5000 m; if not set, the radius from the company rules is used;
- **time zone** — if the location lives on a different time than the company;
- **weekly labour budget** — the schedule compares its labour cost estimate with it.

Without coordinates, clock-ins with geolocation still go through, but the distance to the location isn't calculated and the "Outside location" flag isn't set.

## Location QR code

Each location has its own QR code. Open the poster with the code, print it and put it up at the location: an employee scans it in the jeCheck app, and the clock-in or clock-out is recorded at this location without a geolocation check.

- If someone photographs the code with a regular phone camera, a hint page opens: clocking in works only through the app, so the record belongs to that employee.
- If the code has been copied or photographed, issue a new one: the old one stops working immediately, and the poster must be reprinted.

## Kiosk tablet

The kiosk is a page for a tablet at the location, with no sign-in. Turn on the kiosk in the location settings — a link like `/kiosk/…` appears. Open it on a tablet and leave it in a visible place.

- The kiosk shows only the location's employees who have a PIN (**Employees** → card → **Kiosk PIN**, 4–6 digits).
- An employee picks their name and enters the PIN — a clock-in is recorded, or a clock-out if they are already on shift. There are break buttons.
- If the rules require a photo, the tablet takes a picture with its camera.
- After 5 wrong PINs in a row, that employee is locked out for 10 minutes.
- You can turn the link off or issue a new one — the old one stops opening.

## Shift templates

A template is a ready-made shift: name, start and end time, break, print code (up to 4 characters, for example "D" or "N"), colour and position. Templates are shared (for all locations — created by an administrator or a schedule manager of all locations) or belong to one location (a location manager can create these). In the schedule, a template places a shift in one click.

## Staffing needs

Staffing needs say how many people of which position the location needs on which weekday and hours, for example "barista, Mon–Fri, 08:00–16:00, 2 people". A row without a weekday applies every day. Based on the needs, the schedule shows coverage, and **Auto-fill from staffing needs** places employees. The location's list of needs is saved as a whole.

## Holidays and the hours norm

Holidays are set per year. Day types:

- **holiday** — a day off; work on it is paid with the holiday multiplier and gets the РВ code in the timesheet;
- **transferred working day** — a calendar day off that is a working day this year;
- **day off** — a non-working day without a holiday premium (for example, a transferred day off).

The button for adding public holidays fills the year with fixed-date public holidays for Kazakhstan, Russia or Uzbekistan; dates already entered are not touched. Add lunar-calendar holidays (Oraza Ait, Kurban Ait) and transferred days off manually.

Monthly norm = working days by the calendar (Mon–Fri without holidays, with transfers) × hours in a working day. It is used for salaries, paid absences and overtime by period.

## Frequently asked questions

### Who can change the company rules?

Administrators and employees with the **Manages the schedule of all locations** right. A location manager changes only the settings of their locations, their location's templates and staffing needs.

### Do I need to set the location's coordinates?

If employees clock in from the app with geolocation — yes, otherwise the system can't check that the employee is at the location. The QR code and kiosk don't need coordinates.

### Will holidays fill in automatically every year?

No. Add holidays for the new year with the public holidays button and add transfers and lunar-calendar holidays yourself.
