# Employee KPI

> Manual and automatic metrics from audits, tasks, tests, clock-ins and HACCP, achievement calculation, threshold and cap, KPI bonus.

**Staff → KPI** calculates employees' metric achievement for the month and the bonus based on it. Metrics are set up by an administrator or a schedule manager of all locations; values of manual metrics are entered by location managers.

> [!NOTE]
> Payroll and KPIs are part of the Network plan. Shift schedules, clock-ins, timesheets and requests are available on any plan, including the free Start plan.

## A metric

A metric has:

- a **name** and description;
- a **source** — manual or automatic from jeCheck data;
- a **target** and **direction** — higher is better (sales, audit %) or lower is better (for example, number of complaints);
- a **weight** from 1 to 100 — how much the metric matters in the total;
- a **unit** (%, pcs, ₸, etc.);
- **positions** — which positions the metric applies to (by the employee's main position); empty — all;
- an active flag — an inactive metric isn't calculated.

## Automatic sources

| Source | What is calculated for the month |
|---|---|
| Average audit score of the employee's locations | average audit % for the locations the employee is linked to |
| Audits conducted | number of audits conducted by the employee |
| Tasks completed on time | % of the employee's tasks due this month completed by the deadline |
| Average test score | average % of the employee's completed tests |
| Shifts without late arrival | % of shift clock-ins without lateness |
| Scheduled shifts worked | % of published shifts the employee clocked in for |
| HACCP records on time at the locations | % of HACCP log records at their locations made on time |

If a source has no data for the month, the metric doesn't count towards the total. A manual value overrides the automatic one — this way you can correct a metric.

## How achievement is calculated

1. **Metric achievement.** Higher is better: value / target × 100 %. Lower is better: target / value × 100 %. The result is limited by the cap from the rules (120 % by default) and is never below zero.
2. **KPI total.** The weighted average of metric achievements.
3. **Bonus.** If the total is at or above the threshold (80 % by default), bonus = bonus base × total. For example, a base of 50,000 and a total of 95 % give a bonus of 47,500.

The **Bonus base** is set in the employee card (**Employees** → **KPI bonus**): a fixed **Amount** or **% of accrued** — a percentage of the pay for time worked including premiums. Empty — no bonus.

The KPI bonus appears in payroll as a separate line — see [Payroll calculation](/docs/schedule/payroll).

## Enter values

Choose the month and location, find the employee and enter the value of a manual metric, with a comment if needed. Clear the field to remove the manual value and return to the automatic one. Values in a closed month (payroll approved) can't be changed.

## Frequently asked questions

### Can KPI be used without a bonus?

Yes. If an employee has no bonus base, the KPI total is calculated and shown, and the bonus is zero.

### Why isn't a metric calculated for an employee?

The metric is limited to certain positions and the employee has a different main position, or the source has no data for the month.

### Can the threshold and cap be changed?

Yes, in the schedule rules: **Settings** → KPI.
