# Clocking in and out

> How employees clock in from the app with geolocation, with the location's QR code, on a kiosk with a PIN and photo, or from the website, and how lateness is counted.

Clock-ins and clock-outs are the basis of the timesheet and payroll: payable hours are calculated from them. There are several ways to clock in, and the company chooses the right ones in the schedule rules.

## Ways to clock in

| Way | How it works | Checks |
|---|---|---|
| App | the employee taps "Clock in" in the app's schedule section | geolocation (if required), photo (if required) |
| Location QR code | the employee scans the location's poster in the app | the location is taken from the code, no geolocation needed; photo — if required |
| Kiosk | a tablet at the location: the employee picks their name and enters a PIN | PIN, a picture from the tablet camera (if a photo is required) |
| Website | a button in **My schedule**, if clocking in from the website is turned on in the rules | browser geolocation (if required) |
| Manual | a manager adds a clock-in in **Clock-ins** | a reason is required for edits |

How to turn on the QR code and kiosk is described in [Schedule setup](/docs/schedule/setup).

## Which shift a clock-in is linked to

A clock-in is linked to the employee's nearest published shift at this location. You can clock in no earlier than 60 minutes before the shift starts (configurable); if it's too early, the employee sees the time from which they can clock in.

If there is no shift right now, the clock-in goes through with the **No shift** flag — or is refused if clocking in without a shift is turned off in the rules. The location is taken from the QR code, from the employee's choice or, if the employee is linked to only one location, is determined automatically.

## Late, early leave and outside the location

- **Late** — clocking in after the shift start by more than the grace period (5 minutes by default). The clock-in stores the minutes late.
- **Early leave** — clocking out before the shift end by more than the same grace period.
- **Outside location** — a clock-in from the app or website farther than the location's radius. By default the clock-in goes through with a flag; if "block outside the geofence" is on in the rules, the employee sees the distance to the location and can't clock in.
- **Offline** — the clock-in was made without internet and sent later (see below).

## Breaks

An employee can mark the start and end of a break. If no break was marked, the shift's planned break is subtracted from the worked time — provided the employee worked at least twice as long as the break. If rounding is set in the rules (5, 10, 15 or 30 minutes), worked time is rounded down.

## Without internet

The app saves the clock-in time on the phone and sends it when the connection is back. The server accepts such a clock-in with its real time if it is no older than 24 hours and sets the **Offline** flag. Sending the same clock-in again doesn't create a duplicate. A clock-in older than 24 hours is added manually by a manager.

## If someone forgot to clock out

4 hours after the shift end (configurable), an open clock-in is closed automatically at the shift end time with the **Closed automatically** flag, and the employee gets a **Clock-out missing** notification. If the clock-in had no shift, it is closed with zero worked minutes — the manager will correct the time manually.

## Kiosk tablet

1. **Pick your name.** The kiosk screen shows the location's employees who have a PIN.
2. **Enter the PIN.** 4–6 digits from the employee card. After 5 wrong attempts in a row, sign-in is locked for 10 minutes.
3. **Look at the camera.** If the company requires a photo, the tablet takes a picture.
4. **Done.** If the employee isn't on shift, a clock-in is recorded; if they are, a clock-out. The screen shows a greeting, the clock-in time and lateness, or worked time when clocking out.

## Frequently asked questions

### Can I clock in just by pointing my phone camera at the QR code?

No. A regular camera opens a hint page: open the jeCheck app → "Schedule" → "Clock in" → "Scan QR". This way the clock-in is definitely yours.

### What if the app says "Turn on location services"?

The company requires geolocation: allow the app to access your location. If that doesn't work, clock in with the location's QR code or on the kiosk.

### An employee clocked in at the wrong location or with the wrong time

A manager corrects the clock-in in **Clock-ins** with a reason — see [Clock-ins for managers](/docs/schedule/attendance).
