**Staff → Clock-ins** shows who is on shift right now and keeps a log of all clock-ins and clock-outs for the locations you manage. This is also where mistakes are corrected and payable hours approved.

## Now on shift

The **Now on shift** block refreshes every minute. For each location: today's shifts and the employee's status:

| Status | Meaning |
|---|---|
| **Upcoming shift** | the shift hasn't started yet |
| **Not arrived** | the shift started more than the late grace period ago and there is no clock-in |
| **On shift** | clocked in |
| **Break** | the employee is on a break |
| **Left** | clocked out |
| **Absent** | the employee has an approved absence |
| **No-show** | the shift has ended and there was no clock-in |

Employees who clocked in without a shift are on the list too. You can see the clock-in time, lateness, the clock-in method and the photo, if any.

## Clock-in log

The **Clock-in log** lists all clock-ins for a period (the last 7 days by default) with filters by location, employee and flag, for example **Not approved** or late arrivals. Each row shows the shift, clock-in and clock-out, break, worked time, payable time, method, distance to the location, clock-in and clock-out photos, flags and a note. Up to 1000 clock-ins are shown — narrow the filters for longer periods.

Flags: **Late**, **Early leave**, **Outside location**, **No shift**, **Closed automatically**, **Edited**, **Offline**.

## Add a clock-in manually

If an employee forgot to clock in or the clock-in didn't go through:

1. **Click "Add clock-in".**
2. **Choose the employee and location.**
3. **Enter the clock-in and clock-out.** Clock-out can stay empty — the employee is still on shift. A shift can't be longer than 24 hours.
4. **If needed — break and payable time.** An empty break is calculated by the company rules. If you fill in **Payable, h:mm**, the clock-in is approved with these hours right away.
5. **Save.** The clock-in is linked to the employee's shift at the location, if there is one.

## Edit or delete a clock-in

1. **Click "Edit"** in the clock-in row.
2. **Change the time, break or payable hours.**
3. **Enter the reason for the change.** Without a reason the correction isn't saved.

The clock-in gets the **Edited** flag, and lateness is recalculated. **Edit history** shows who changed what and when (before → after) and the reason. Deleting also requires a reason and is saved in the history; the hours of a deleted clock-in disappear from the timesheet and payroll.

## Approve hours

Approval fixes how many minutes of a clock-in are paid. Select closed clock-ins and click **Approve** — the worked time becomes payable. For a single clock-in you can set your own payable hours via **Edit**.

> [!NOTE]
> Approved hours go to the timesheet as they are; the "payable by schedule / no more than scheduled" rule doesn't apply to them.

Clock-ins in a closed month (payroll approved) can't be added, edited, approved or deleted — first cancel the approval in **Payroll**.

## Frequently asked questions

### Do clock-ins have to be approved?

No. Unapproved clock-ins also go to the timesheet — according to the "payable hours" rule in the settings. Approval is for when a manager wants to fix the hours manually.

### Who sees clock-in photos?

The manager of the location where the clock-in was made, and the employee. Photos are stored privately and don't open by a direct link without signing in.

### Why is an employee "Not arrived" although they are at work?

The employee didn't clock in or clocked in at another location. Add a clock-in manually or ask them to clock in.
