# Schedule in the mobile app: clock-ins, shifts and requests

> The Schedule tab in the jeCheck app: clocking in and out, breaks, your shifts and open shifts, monthly hours, requests and the Team section.

If your company keeps a [shift schedule](/docs/schedule), the app's bottom menu shows a **Schedule** tab — right before **Profile**. There, employees clock in and out, see their shifts and hours, take open shifts and submit requests, and managers see who is on shift right now and decide on requests. The schedule itself is built and published by a manager in the web dashboard.

## Sections of the Schedule tab

At the top of the tab there is a section switcher:

- **Today** — the **Clock in/out** card, the current or next shift and **My locations** (with the geofence radius).
- **Shifts** — **My schedule** (week or month) and **Open shifts**.
- **Hours** — month totals, the timesheet by day and, if the company shows it, pay.
- **Requests** — absences, shift swaps and handovers, offers from colleagues, availability.
- **Team** — only for managers with the "Building the schedule" permission: who is on shift now, employee requests and the location schedule.

The home screen (the **Overview** tab) has a shift card: status, the next shift and a **Clock in** button (on shift — **Clock out**, on a break — **End break**). Tapping the card itself opens the **Schedule** tab.

## How to clock in

1. **Open Schedule → Today.** The **Clock in/out** card shows your status: **Off shift**, **On shift** or **On break**. Below the buttons are your company's rules, for example "location required", "photo required", "only within the location radius", "only during a shift".
2. **Tap "Clock in".** If the company requires geolocation, the app asks for access to your location.
3. **Or tap "Scan QR".** Point the camera at the location's QR code and confirm the location — no geolocation is needed.
4. **Take a photo if required.** If the company requires a photo when clocking in, the front camera opens.
5. **Choose a location if the app asks.** This happens if you work at several locations and have no shift right now.

After clocking in, the card shows your clock-in time and a shift timer. You can clock in no earlier than the rules allow (by default 60 minutes before the shift starts) — otherwise the app tells you from what time you can clock in.

> [!TIP]
> If geolocation is turned off, denied or can't be determined, the app offers **Scan QR** — clock in with the location's QR code. The **Settings** button in the same dialog opens your phone settings.

## Breaks and clocking out

- **Break** starts a break, **End break** ends it. Breaks are shown in the card next to the clock-in time.
- **Clock out** closes the shift after you confirm; worked time is calculated automatically.
- **Clock out by QR** does the same with the location's QR code.

How breaks affect worked time and what happens if you forget to clock out is described in [Clocking in and out](/docs/schedule/clock-in).

## Clock-ins with flags

A clock-in can go through with a flag, which the manager sees too:

| Flag | What it means |
|---|---|
| Late | clocked in after the shift start by more than the grace period; the clock-in stores the minutes late |
| Left early | clocked out before the shift end by more than the grace period |
| Out of zone | clocked in farther than the location's radius (if the company doesn't block such clock-ins) |
| No shift | you have no published shift at this time |
| Offline | the clock-in was made without internet and sent later |
| Auto-closed | the clock-out wasn't recorded, the system closed the shift |
| Edited | a manager corrected the clock-in |

If the company blocks clock-ins outside the geofence, the app shows how many meters you are from the location and suggests moving closer or tapping **Scan QR**.

## Without internet

If there is no connection, the clock-in is saved on the phone with its real time: you'll see "No connection — the record is saved and will be sent automatically", and the card shows **not synced**. When the connection is back, the app sends the clock-in on its own; you can also do it manually with **Send** on the "Records waiting to be sent" banner.

If the server rejected a clock-in, the banner shows the reason and a **Details** button: there you can **Send again** or **Discard record**. The server doesn't accept clock-ins older than 24 hours — ask your manager to add it manually.

## My shifts and open shifts

**Shifts** → **My schedule** shows your published shifts for a week or a month: time, location, position, break, hours, the manager's note and your clock-in. If the manager has already changed a shift but hasn't published it, it is marked **Change pending** — until it's published, you see the previous version. If the company allows it, the shift card shows **Colleagues that day**.

The card of your own shift has **Give away shift** and **Swap** buttons — see below.

**Open shifts** are open shifts at your locations that suit you. Tap **Take** and confirm. If approval is needed, the shift is marked **Requested** and goes to the manager; otherwise it becomes yours right away. A shift someone has already requested is marked **Being taken**.

## Hours for the month

The **Hours** section shows **Month totals**: **Paid hours**, **Planned**, days, night, holiday and overtime hours and late arrivals, and below — **By day** with the timesheet code, plan and actual time. If the company shows pay to employees, there is also a **Pay** block: what the amount is made of, deductions and **Payable**. Until the month is approved, the amounts are preliminary.

## Requests: absence, swap, availability

In the **Requests** section:

1. **Absence.** Choose the type (vacation, sick leave, day off on request, etc.), dates and a comment. With **Attach file** you can add a document — **Take a photo**, **From gallery** or **Document (PDF, image)**. Tap **Submit request** — it goes to the manager.
2. **Give away or swap a shift.** Open your shift in **Shifts** → **My schedule** and tap **Give away shift** (to a specific colleague or to **Anyone eligible** — the first one to agree gets it) or **Swap** (choose a colleague's shift within the next 2 weeks). First the colleague agrees, then the manager decides, if the company requires approval.
3. **Offers from colleagues.** When a colleague offers you a shift or a swap, tap **Accept** or **Decline**.
4. **Availability.** Mark when you are **Unavailable** or **Preferred** for work: by weekday or on a date, **All day** or during certain hours. The manager takes this into account when building the schedule.

Below you see your **Swaps and handovers** and **Absences** with their statuses (**Pending**, **Waiting for colleague**, **Waiting for manager**, **Approved**, **Rejected**, **Expired**). Until there's a decision, you can withdraw a request with **Cancel request**. How managers decide is described in [Requests](/docs/schedule/requests).

## The Team section for managers

The section is visible to managers with the "Building the schedule" permission at least at one location (location managers by default). It has three tabs:

- **Now** — who is on shift by location: **Working**, **Late**, **Upcoming**; for each employee — the shift time, the actual clock-in and a **Call** button. You can pick one location or **All locations**.
- **Requests** — **Pending** and **History** (for 90 days): absences and swaps. Tap **Approve** or **Reject** and add a comment if you like. When approving an absence, you can tick **Release the employee’s shifts on these days** — the shifts become open drafts, and the schedule must be published on the website.
- **Schedule** — the location's schedule for the week, including the **Open** row and the number of unpublished changes. Read-only: you can edit the schedule on the website.

## Frequently asked questions

### Why don't I have a Schedule tab?

Your company doesn't keep a shift schedule in jeCheck, or the module isn't available to your account. Check with your manager.

### Can I clock in just by pointing my phone camera at the QR code?

No. Scan the code in the app: **Schedule** → **Today** → **Scan QR**. A regular camera opens a hint page.

### I scanned a QR code and a request form opened

That is a request QR code on equipment or at the location, not a clock-in code. The app opens the request form automatically — see [Requests and approvals in the app](/docs/mobile/requests-and-approvals). To clock in, find the location's clock-in QR code.

### The clock-in failed: "The record is more than 24 hours old"

Offline clock-ins are accepted if they are no older than 24 hours. An older clock-in is added manually by a manager — see [Clock-ins for managers](/docs/schedule/attendance).
